How to Book a Freight Elevator for Your NYC Move

In an NYC elevator building, the freight elevator reservation is the move date. No reservation, no move — doormen enforce it. Here's exactly how the process works and the mistakes that get moves turned away in the lobby.

How freight elevator reservations work

1. Contact building management (not the doorman) — the management company or resident portal handles bookings.
2. Request a window — most buildings assign 2–4 hour slots, weekdays only in many buildings (9am–4pm is common).
3. Submit the paperwork — nearly all elevator buildings require your mover's Certificate of Insurance approved before they confirm the slot.
4. Pay the deposit if required — some buildings take a refundable move-in/move-out deposit ($250–$1,000) against damage.
5. Reconfirm the week of the move — and tell your movers the exact window so the crew is loading when the elevator opens.

The five classic mistakes

• Booking movers before the elevator. Get the elevator window first, then book the crew around it.
• Assuming weekends work. Many buildings don't allow weekend moves at all.
• COI at the last minute. Management can take days to approve one — submit it with the reservation request.
• Underestimating the window. A 2BR rarely fits a 2-hour slot; ask for the longer window up front.
• Forgetting both buildings. Your destination building needs its own reservation and its own COI.

What if my building has no freight elevator?

Smaller elevator buildings often designate the passenger elevator with padding blankets for moves — same reservation process. Walk-ups skip all of this, but stairs change the crew size and the quote, so tell your movers the floor and access either way.
